User Management

The User Management section of the Enterprise Portal provides visibility into all users across your enterprise deployment. Monitor user distribution, track membership across organizations, and access detailed usage analytics.


Overview

Enterprise-level user management enables you to:

  • View Total Users: See aggregate user count across all organizations
  • Monitor Distribution: Understand how users are distributed across organizations
  • Track Activity: Monitor user engagement and credit consumption
  • Access Reports: Generate user-level analytics and reports
  • Manage Access: Control user permissions at the enterprise level (if configured)

User Dashboard Metrics

Total Users Count

The main metric displays:

  • Total Active Users: All users with active accounts across your enterprise
  • Growth Trend: User count changes over time
  • Distribution: Breakdown by organization

Example: "33 Total Members" across 13 organizations

User Distribution

View how users are allocated:

  • By Organization: Members per organization
  • By Role: Breakdown of admins, creators, and viewers
  • By Status: Active vs. inactive users
  • By Credit Pool: Users grouped by assigned credit type

Viewing User Details

User List

Access the complete user directory:

  1. Navigate to Users in the Enterprise Portal sidebar
  2. View the user list with columns:
    • Name: User's full name
    • Email: User's email address
    • Organization(s): Organizations the user belongs to
    • Role: User's role(s) in each organization
    • Status: Active/Inactive
    • Last Active: Most recent login or activity
    • Credits Used: Total credits consumed by the user

Search and Filter

Find specific users or groups:

  • Search by Name: Enter user's name
  • Search by Email: Find user by email address
  • Filter by Organization: Show users from specific organizations
  • Filter by Role: Display admins, creators, or viewers
  • Filter by Status: Active or inactive users

User Credit Consumption

Individual Usage Tracking

Monitor credit consumption per user:

  • Total Credits Used: Lifetime consumption across all organizations
  • Current Month Usage: Credits consumed in the current billing period
  • Average Monthly Usage: Historical average consumption
  • Organization Breakdown: Credits used per organization (for multi-org users)

Usage Reports

Generate detailed user consumption reports:

  1. Select user(s) from the list
  2. Choose date range for analysis
  3. Click "Generate Report"
  4. Export as CSV or Excel

Report Includes:

  • User identification details
  • Credit consumption by date
  • Application/flow usage breakdown
  • Organization attribution
  • Cost analysis (based on credit pool pricing)

Multi-Organization Users

Understanding Multi-Org Membership

Users can belong to multiple organizations within your enterprise:

  • Primary Organization: User's main organizational affiliation
  • Secondary Organizations: Additional organizations the user has access to
  • Credit Attribution: Usage tracked separately per organization

Managing Multi-Org Users

View and manage users across organizations:

  1. Identify Multi-Org Users: Filter users with membership in 2+ organizations
  2. Review Access: Verify appropriate organizational access
  3. Track Usage: Monitor consumption across all organizations
  4. Adjust Allowances: Set different limits per organization if needed

User: John Smith (john@company.com)

User Roles and Permissions

Enterprise-Level Roles

At the enterprise level, users can have:

  • Enterprise Administrator: Full access to Enterprise Portal and all organizations
  • Enterprise Billing Manager: Access to credit management and financial reports
  • Organization Administrator: Admin access to specific organization(s)
  • Organization Member: Standard access within organization(s)

Role Management

To manage user roles:

  1. Select user from the list
  2. Click "Manage Roles"
  3. View current role assignments
  4. Add or remove roles as needed
  5. Save changes

Note: Role changes take effect immediately.


User Activity Monitoring

Activity Metrics

Track user engagement:

  • Last Login: Most recent authentication
  • Active Days: Number of days user was active in the period
  • Sessions: Total login sessions
  • Flows Created: Number of flows authored
  • Assignments Completed: Learner activity (if applicable)

Engagement Analysis

Identify usage patterns:

  • Power Users: High activity and credit consumption
  • Inactive Users: No recent activity (potential license optimization)
  • New Users: Recently added, onboarding phase
  • Churned Users: Previously active, now inactive

Activity Reports

Generate engagement reports:

  1. Navigate to User Activity Reports
  2. Select date range
  3. Choose metrics to include
  4. Filter by organization or role
  5. Export report

User Lifecycle Management

Onboarding New Users

When users join your enterprise:

  1. Automatic Addition: Users appear when they join any organization
  2. Welcome Tracking: Monitor initial activity and adoption
  3. Credit Allocation: Ensure appropriate allowances are set
  4. Training Resources: Provide access to learning materials

Active User Management

For established users:

  1. Regular Monitoring: Review activity and consumption
  2. Allowance Optimization: Adjust limits based on usage patterns
  3. Support Needs: Identify users requiring assistance
  4. License Utilization: Ensure active use of allocated resources

Offboarding Users

When users leave:

  1. Deactivation: Disable user access across all organizations
  2. Data Retention: Archive user data per policy
  3. Credit Reclamation: Unused allowances return to organization pool
  4. Access Audit: Verify removal from all systems

User-Level Credit Controls

Setting Individual Limits

Override organization defaults for specific users:

  1. Select user from the list
  2. Click "Credit Settings"
  3. Choose organization (for multi-org users)
  4. Set Custom Monthly Allowance
  5. Save changes

Use Cases:

  • Power users needing higher limits
  • Restricted users requiring lower limits
  • Temporary adjustments for projects
  • VIP or executive users

Monitoring Individual Consumption

Track user-specific usage:

  • Current Month: Credits used in current billing period
  • Last Month: Previous month's consumption
  • Trend: Usage pattern over time
  • Limit Status: Percentage of allowance used

Alert Triggers:

  • User approaching monthly limit (80%)
  • User exceeding limit (requires personal wallet)
  • Unusual spike in consumption
  • Zero usage (potential inactive user)
