What Is an Organization in LearningFlow?
An Organization in LearningFlow represents a collaborative workspace designed to bring together educators, trainers, and administrators under a unified environment. Organizations enable centralized management of users, shared resources, AI tools, and billing—streamlining educational workflows and fostering teamwork.
Each organization operates with its own dedicated URL and controlled user access, providing a secure and customizable platform tailored to your group’s needs.
Benefits of Forming an Organization
- Centralized User Management: Easily manage member invitations, approvals, and role assignments within your organization.
- Shared Libraries and Tools: Publish and curate a customized library of AI tools and flows exclusive to your organization.
- Coordinated Assignments: Create and assign workflows visible only to members, facilitating controlled distribution and tracking.
- Unified Credit and Billing System: Manage AI usage credits centrally via an organizational wallet, simplifying cost control and budgeting.
- Consistent Branding and Access: Provide a familiar, organization-specific experience with a unique URL for editors.
Organization URL Structure
The Editor interface for an organization is accessible at a unique URL, in the format:
https://app.learningflow.ai/editor/{{orgname}}/
This URL loads the organization workspace, including its specific tools, collections, and assignments created by members.
Important:
- The Viewer interface (used by learners) does not have an organization-specific URL. Instead, viewers access assignments globally, which may include both organizational and general public assignments in one unified portal.
- When a viewer attempts to access an assignment associated with an organization, the system performs a membership check. Non-members will be prompted to join the organization before proceeding.
How to Create an Organization
Currently, organizations cannot be self-created directly through the platform.
To set up an organization:
- Contact the LearningFlow support team via the Contact Us page.
- Submit a request for organization creation and provide relevant details.
- The support team will create the organization for you.
- Once created, you can begin inviting and managing members.
Administrative Capabilities
As an organization admin, you can:

Manage Users
Invite new members, approve or reject join requests, assign roles and permissions tailored to your workflow. -
Maintain Organization Tools
Publish, organize, and curate specialized AI-powered teaching tools and flows that your members can access exclusively. -
Manage Credit System
Oversee pre-paid or post-paid AI usage credits applied to all organization activities. Track credit consumption and top-up balances as needed. -
Monitor Activities and Usage
Access insights into organizational flow usage and assignment participation. -
Configure Settings
Adjust organization-level settings including branding, membership rules, and integrations.
Accessing the Organization Admin Console
If you have Organization Admin permissions, you can manage your organization’s settings, users, billing, and tools through the Organization Admin Console.
How to Find It
- Log in to LearningFlow.
- Switch to your Organization Space by:
- Using the Organization Switcher dropdown in the top-left corner of the sidebar, or
- Navigating directly to your organization’s URL (e.g.,
https://app.learningflow.ai/editor/{{orgname}}/
).
- Once you are in the Organization Space, look to the bottom left corner of the sidebar navigation.
If you have admin access, you will see a gear icon with the label:
Organization Setting
Clicking on this will open the Organization Admin Console where you can:
- Manage organization members and roles
- Handle credit and billing controls
- Maintain organization libraries and tools
- Configure organization-wide settings and integrations
